Banner SSARRES Functionality Help Guide

First, here are some things to consider when utilizing this Banner screen.

  • There are certain parameters that should not be changed in SSARRES because they are related to the course proposal approved by a curriculum body. For example, course level restrictions (UG, PB, GR) should not be changed in SSARRES in most instances. Another example may be a course proposal that restricts a course to a particular degree program. That probably should not be overridden in SSARRES in most instances.
  • A good example of using SSARRES functionality would be temporary adjustments to prioritize registration for one group of students over another. (e.g. PSY 1234 is open to all students, but you want students in an online program to have priority. You could add the ONLN student attribute for a period of time, then remove that restriction later to allow all students to register. Another example, maybe you want to prioritize a particular Academic Dept (like BIO) so you add the department restriction for a period of time, then remove that restriction later to allow all students to register.
  • Any time you are using multiple parameters or mixing parameters, test it first with a variety of students to make sure it will work as you intended. Sometimes one parameter conflicts with another and may have an unintended consequence.
  • The Field of Study option is the most complicated with multiple ways of setting it up depending on what you are trying to control. Knowing the specific major codes from the STVMAJR table is necessary. It is recommended that you test any setup involving Field of Study parameters.

In SSARRES all options have an Include/Exclude (I/E) control for any codes listed.

  • An inclusion restriction permits a student to register for the section if the specified item is found in their record.
  • An exclusion restriction prohibits a student from registering for the section if the specified item is found in their record.

    Department I/E

    Use this section of the page to enter or display specific department restrictions for the section specified in the key block.

    You can include or exclude restrictions.

    • An inclusion restriction permits a student to register for the section if the department of the primary or secondary curriculum, as displayed for the registration term in the General Student (SGASTDN) page, is included in the list of departments specified.
    • An exclusion restriction prohibits a student from registering for the section if the department, as displayed for the registration term in SGASTDN, is included in the list of departments specified.

    Note: Banner SSARES is looking for the Dept. in either the major, minor, or concentration.

    Field of Study I/E with the option to choose all STVMAJR code types or limit to one out of three (Major, Concentration, Minor)

    You can include or exclude restrictions.

    • An inclusion restriction permits a student to register for the section if the major 1 or major 2 of either the primary or secondary curriculum, as displayed for the current registration term on SGASTDN and SFAREGS, is included in the list of fields of study specified.
    • An exclusion restriction prohibits a student from registering for the section if the major 1 or major 2 of either the primary or secondary curriculum, as displayed for the current registration term in SGASTDN and SFAREGS, is included in the list of fields of study specified.
    • Field of study type restrictions use AND conditions, not OR conditions. For example, when a section has MAJOR, MINOR, and CONCENTRATION field of study types set to include MATH, all three field of study types have to be satisfied for the student to register for the course. When the All Field of Study Types check box is selected and the field of study types include MATH, the student would only have to have MATH as a MAJOR, MINOR, or CONCENTRATION to register for the course.
    • Major codes are validated on STVMAJR and follow this schema. A major code with a leading “1” designates it as online (e.g. 1PSY). A major code with a leading “2” designates it as off campus (e.g. 2ELE). A major code that leads with an alpha character is designated as on campus (e.g. BIO).

    Class I/E

    Use this section of the page to enter or display class restrictions for the section specified in the key block.

    You can include or exclude restrictions.

    • An inclusion restriction permits a student to register for the section if the class that has been calculated and displayed for the registration term on SGASTDN and SFAREGS is included in the list of classes specified.
    • An exclusion restriction prohibits a student from registering for the section if the class that has been calculated and displayed for the registration term in SGASTDN and SFAREGS is included in the list of classes specified.

    Level I/E

    Use this section of the page to enter or display specific level restrictions for the section specified in the key block.

    You can include or exclude restrictions.

    • An inclusion restriction permits a student to register for the section if the level code of the primary or secondary curriculum, as displayed for the registration term on SGASTDN, is included in the list of levels specified.
    • An exclusion restriction permits a student from registering for the section if the level code of the primary or secondary curriculum as displayed for the registration term in SGASTDN is included in the list of classes specified. Level restrictions do not check the level specified in dual degree information in SGASTDN when a student registers for a section. The information in the Level Restrictions section defaults from the course level restrictions established in the Course Registration Restriction (SCARRES) page when a new section is created online on SSASECT but can be changed.

    Degree Restrictions I/E

    Program Restrictions I/E

    • An inclusion restriction permits a student to register for the section if the program, as displayed for the current registration term on SGASTDN, is included in the list of programs specified.
    • An exclusion restriction prohibits a student from registering for the section if the program, as displayed for the current registration term in SGASTDN, is included in the list of programs specified.

    Student Attribute Restrictions I/E

    Use this section of the page to enter or display student attribute restrictions for the section specified in the key block. Student attributes are maintained in the Additional Student Information (SGASADD) page.

    You can include or exclude restrictions.

    • An inclusion restriction permits a student to register for the section of the course if the student is associated with an attribute that is included in the list of student attributes specified and the student's attribute is active for the term.
    • An exclusion restriction prohibits a student from registering for the section of the course if the student is associated with an attribute that is included in the list of student attributes specified and the student's attribute is active for the term.
    • The student attribute validation table is STVATTS and these codes appear on the student record in SGASADD. Note: STVATTS codes of ONLN (Online), OFCM (Off Campus), and ONCM (On Campus) are assigned to every student’s SGASADD record based on their major. These codes are set for each semester on Count Day (i.e. the code present on a student’s SGASADD record will not change throughout the remainder of the semester).

    Cohort Restrictions I/E

    Use this section of the page to enter or display cohort restrictions for the section specified in the key block.

    You can either include or exclude restrictions.

    • An inclusion restriction permits a student to register for the section of the course if the student belongs to one of the cohorts included in the list of cohorts specified and the student's cohort is active for the term.
    • An exclusion restriction prohibits a student from registering for the section of the course if the student belongs to one of the cohorts included in the list of cohorts specified and the cohort is active for the term.
    • The student cohort validation table is STVCHRT and these codes appear on the student record in SGASADD.
